Picking up your keycard

At check-in, you will receive your apartment/room keycard. You must provide a signature and date on the front desk’s individual and group check-in sheet.

If your arrival time falls outside of office hours, please call 303-735-2275 when you arrive to have a staff member meet you at the front desk and provide you with your keycard. If you know your arrival will be outside office hours prior to arriving, please let us know by emailing internlodging@colorado.edu.

Please keep track of your keycard. Your keycard is your access to the campus recreation center. If you lose your keycard, you lose access to the facility until it is replaced by a guest keycard from a CUCS representative and updated with the rec center. Temporary keycards cannot access the rec center. If you lose your keycard, inform the office and internlodging@colorado.edu immediately. There is a $20 charge for lost or damaged keycards.

Unit Condition Form

A Unit Condition Form will be located on the bed of your assigned apartment bedroom when you arrive. Use this form to identify any damages prior to your stay that, if noted on the form, you will not be responsible for. You must fill out and return your Unit Condition Form to the front desk within 48 hours of check-in.

Check-out

You may stay in the apartment until 3 p.m. on the final day of your reservation. On check-out day, please ensure all personal belongings are removed and all furniture has been returned to its original location/position. Linens and towels can be piled on the bed. Please return your keycard to the front desk and sign and date the front desk’s individual and group check-out sheet

  • Check-out during office hours: Bear Creek requires a check-out signature and date, otherwise additional charges may apply. Be sure to visit the desk, return your keycard and sign out before departing.
  • After-hours check-out: If departing outside of office hours, please drop the key(s) into the keycard drop-box at the front desk. Please scan the QR code and enter your information to sign out without a staff member present.

Maintenance

Right to enter apartments

To handle an emergency, perform routine maintenance checks or respond to a work order placed by a resident, CU Boulder employees, repairers and representatives may, without notice, enter your apartment for any reason. Any such entry does not constitute a termination of your contract or entitle you or any resident of the apartment to a reduction in rent.

Work orders

There are two options for submitting maintenance requests.

  1. Complete a work order online on our Fix It! website.
  2. Call or visit the staff at the front desk of your building.

A minor maintenance issue may take up to a week to fix depending on the volume of work orders being received by the maintenance staff.

Emergency maintenance

For maintenance emergencies and urgent requests such as flooding, please call the 24/7 emergency maintenance line at 303-735-5555.

Please do not call the emergency on-call phone for requests such as getting a light bulb, a parking permit, additional pillows or additional linens. Please make these requests during office hours at the front desk.
