Travel

Before booking travel, please contact Travel + Procurement Coordinator Casey Klopp at casey.klopp@colorado.edu for travel speedtype balance inquiries, planning assistance and questions related to university travel.

Before you go

All professional domestic and international travel must be approved using Concur Request before booking a trip. Concur Request replaces the hardcopy professional travel form and is used as a means of reporting your plan for covering your classes and other professional obligations in your absence; as such, a Concur Request must be submitted for all professional travel, regardless of whether the trip is being funded by CU Boulder or an outside entity.

Check out this step-by-step guide on submitting a travel request.

  • Airfare purchased out-of-pocket outside of Concur is not reimbursable.
  • Pre-approval is required if driving instead of flying. Driving instead of flying is only acceptable if:
    • It is necessary to transport fragile or oversized equipment related to the business purpose, including but not limited to instrument(s), sound equipment, etc.
    • It is necessary to transport multiple travelers, making vehicle travel the most economical option.
    • It can be demonstrated that driving instead of flying is more economical.
      • In addition to pre-approval, this option also requires a comparison quote from Concur, which should be attached to the Concur travel request.
      • The traveler will be reimbursed for actual mileage up to the actual total flight cost (transportation to/from DIA, airfare and destination ground transportation).
      • Gasoline purchased for use in a personal vehicle is not reimbursable under any circumstance. Mileage reimbursement is intended to cover the cost of gasoline, and wear and tear. View the current mileage reimbursement rate.

Can I use Concur for personal travel bookings?

  • You may use Concur to reserve hotels and rental cars for personal travel.
  • You may not use Concur to reserve flights for personal travel, as airfare is billed directly to the university.
