Scheduling Zoom Meetings

There are several settings you may want to review when you click the Schedule button

  • REQUIRED: Check the Require meeting password box to have Zoom create a password that must be used to join the meeting.  Share this password only with people you want in your meeting (i.e. don't make it public).
  • Turn on the Host and Participants video so you can see who is attending and they can see you.
  • Expand the Advanced Options
    • Enable the Waiting Room feature if you think you might need to manage who attends the meeting
    • You may want to have everyone muted when they join
    • You may want only Authenticated Users to join (only those with a colorado.edu email address)
    • You may want to Automatically Record the meeting when you join​.  Note: Use the 'Cloud' option for best processing performance.
    • You may want to have an Alternative Host in case you need a co-host or can't attend the meeting for whatever reason.  Type in their identikey username email address (chba1234@colorado.edu).

Check Audio and Visual Settings when using the Meeting Owl

When setting up a Zoom meeting make sure to test/check that the meeting owl is the default Speaker and Mic. You shouldn’t have to change the Video, but if you don’t get the Owl video (of the meeting room you’re in) return to this screen and check the Video settings.

Audio Sharing in Zoom

When sharing your screen (and showing a video with audio) click the Share Computer Sound box before clicking the Share Screen button. Otherwise, participants won’t hear the audio clearly.

Screen Sharing Tips With PowerPoint

Have your PowerPoint or other documents you will be sharing open before launching Zoom.

Share the screen with the PowerPoint before having the PowerPoint go into "Slide Show" mode.

Sometimes Zoom shares the Presenter's version with notes rather than the full screen version. Ask your remote participants to confirm what they are seeing on their screen.


Monitor Zoom Chat

It is a good practice to have a second person in the meeting that monitors the Chat function of a Zoom meeting in case the remote participants can't hear or you can't hear the remote participants.  This person can also read/answer the chat messages as they come in.
